SUBJECT: New Secondary Position Form and Process

In an effort to support increased effectiveness and efficiency for our customers, Corporate Payroll Services has partnered with Duke Human Resources to change the secondary position form and supporting business process. Secondary positions are for nonexempt Duke employees who are performing work outside of their primary job responsibilities. The position can be within their primary department or with another Duke department. Secondary positions allow Corporate Payroll Services to accurately track and pay all hours worked and ensures that employees are paid overtime if appropriate. As a reminder, a nonexempt Duke employee cannot be provided a lump sum payment in lieu of hourly compensation.

Beginning on October 26, the first day of pay period 24, all departments should use the new secondary position form to hire, delimit, or make changes to secondary positions. The job classification form will no longer be needed for staff employees. The new form and comprehensive work instructions for completing the new form can be found at http://www.payroll.duke.edu/forms/forms.php#secondary.

Additionally, secondary position forms should be routed as follows:

  • All student secondary positions - Corporate Payroll Services - Box 90484
  • Hires and rates changes for all Company 10 and DUHS Staff (with the exception of Duke Raleigh Hospital and Durham Regional Hospital) - Duke Human Resources - Box 90496
  • Duke Raleigh and Durham Regional Hospital - Hospital Human Resource Department
